This policy explains what personal data we collect through kaitan.eu, why we collect it, who we share it with, and what rights you have.
Who we are
ProkaitanSystems OÜ (registry code 17400815), Kentmanni tn 4, 10116 Tallinn, Estonia ("Kaitan", "we") is the controller of the personal data processed through this website. For any question about this policy or your data, write to info@kaitan.eu.
What we collect and why
When you contact us
If you submit the contact form or email us, we receive your email address and anything you choose to write. We use it only to reply to you. The legal basis is our legitimate interest in answering enquiries, or taking steps at your request before entering into a contract (GDPR Article 6(1)(f) and 6(1)(b)). Giving us your email is voluntary, but we cannot reply without it.
Analytics, only with your consent
If you accept analytics cookies, we use Google Analytics and Voog statistics to understand how the site is used: which pages are visited, how visitors arrive, and what device, browser and approximate location (country or city) they use. We use this only in aggregate to improve the site. The legal basis is your consent (Article 6(1)(a)). If you reject analytics, neither service is loaded.
Spam protection
The contact form is protected by Google reCAPTCHA, which checks information about your device and how you interact with the page to tell people from automated abuse. The legal basis is our legitimate interest in keeping the form secure (Article 6(1)(f)).
Hosting
Like any website, our host processes technical data such as your IP address, browser type and the time of each request in order to deliver the pages and keep them secure. The legal basis is our legitimate interest in running a secure website (Article 6(1)(f)).
Cookies
Cookies are small files stored in your browser. We only set analytics cookies after you accept them. You can change your choice at any time under Cookie settings, also linked at the bottom of every page.

Who receives your data
We do not sell your personal data. We share it only with service providers who process it on our behalf:
- Voog (Edicy OÜ, Estonia): website hosting, the contact form and Voog statistics.
- Google Ireland Limited: Google Analytics (with your consent) and reCAPTCHA.
- Our email provider, when we correspond with you.
We may also disclose data when the law requires it.
Transfers outside the EU
Google may process data in the United States. Google LLC is certified under the EU–US Data Privacy Framework, and Google also relies on the European Commission's Standard Contractual Clauses.
How long we keep it
- Contact form submissions and email correspondence: up to 24 months after our last contact, unless it leads to a business relationship. In that case we keep it for as long as the relationship and our legal and accounting obligations require.
- Google Analytics data: up to 14 months, then deleted automatically.
- Cookies: for the periods listed in the table above.
Your rights
You have the right to access your personal data, have it corrected or deleted, restrict or object to its processing, and receive it in a portable format. Where processing is based on your consent, you can withdraw it at any time. This does not affect processing that took place before you withdrew it. To use any of these rights, email info@kaitan.eu. We will respond within one month.
We do not use your data for automated decision-making or profiling.
Complaints
If you believe we handle your data unlawfully, you can complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon), Tatari 39, 10134 Tallinn, info@aki.ee, www.aki.ee, or to the supervisory authority where you live or work.
Changes to this policy
We update this policy when our practices change. The date at the top of the page shows when it last changed.
